Summarize Creative Review Meetings With Copilot in Teams

What This Does
Creative review calls move fast: feedback on a concept, a decision on a tagline, a note about what the agency needs to change before the next round. Writing that up afterward and sending it to the agency is its own small task, one that is easy to shortchange when you are already moving to the next meeting. Copilot's meeting recap in Teams captures the discussion automatically and gives you a written summary with decisions and action items already organized, so the recap is a review-and-send task instead of a write-from-memory one.
Before You Start
- A Microsoft 365 Copilot license (recap and follow-up questions require this; ask your IT admin if you are unsure)
- The meeting recorded or transcribed, since Copilot needs a transcript to generate a full recap and to answer follow-up questions about what was said
- The creative review meeting has already ended
Steps
1. Open the meeting chat and find the Recap tab
After the meeting ends, go to the meeting chat in Teams. Select the Recap tab.
2. Ask Copilot to recap the meeting
Within the Recap tab, select Copilot, then View prompts, then select "Recap the meeting." Copilot generates a written summary broken into topics, along with action items tied to whoever raised them, notable timestamps, and any files or links shared during the call.
3. Review, adjust, and share
Read the recap against your own memory of the call before sending it anywhere. Copilot organizes what was said; it does not know which comment was the real decision versus a passing suggestion, so correct anything that reads more definitive than it actually was. Once it looks right, copy it into an email or message to the agency instead of writing recap notes from scratch.
Real Example
Scenario: A 30-minute creative review call just wrapped, with feedback on three campaign concepts and one decision to move forward with concept B pending a tagline revision.
What you do: Open the meeting chat, select Recap, select Copilot, then "Recap the meeting."
What you get: A summary organized by concept, with the feedback on each one, the decision to move forward with concept B, and an action item for the agency to revise the tagline. You read it once, fix a line that overstated a comment as a final decision, and forward it to the agency instead of writing the recap yourself.
Tips
- Ask Copilot follow-up questions directly in the Recap tab if you need more detail on a specific part of the discussion, since the transcript is already there to search
- Recaps read faster to write than they are to verify. Budget a minute or two to check the summary against what you remember before it goes to anyone outside your team
- If a recap will go to an external agency, strip out any internal-only commentary (budget concerns, competitor mentions) that came up mid-call before forwarding it
Meeting recaps can surface sensitive internal discussion, unreleased campaign details, or budget commentary that should not leave the company. Read the recap fully before forwarding it externally, and remove anything that was meant to stay inside the brand team. Because this feature runs inside your organization's Microsoft 365 tenant, it is generally the sanctioned place for that kind of internal discussion, unlike a personal AI tool account.
Tool interfaces change. If the Recap tab or these menu options have moved, look for a "Recap" or "Copilot" label in the meeting chat, or check with your IT admin.
